
Birthday Party FAQ
How do I schedule a My Gym party?
It's easy! For your convenience, you can book directly on the website at www.mygym.com/sherwood/birthday-parties. All you have to do is click on the pink "Choose This Package" button and it will take you to the calendar that shows currently available times.
How long are My Gym parties?
Our parties are an hour and a half. We encourage you to open presents at home, allowing as much play time as possible. Your party rental is for 90 minutes, we do allow for a free grace period of 10 minutes before the start time for set up and 10 minutes after for clean-up. If you arrive earlier or stay later there will be an additional charge due of $20 for each 5 minutes over your party rental period.
Is a deposit required?
A $200 non-refundable, non-transferable deposit is required to reserve your party. The remaining balance is due and payable at the end of your party.
What Happens at a My Gym Party?
Our fun and friendly party specialists will develop a custom plan with games and activities just for your party based on the ages and number of children. Activities may include: obstacle courses, songs and dances, swing time, ninja courses, and agility games. If you're currently enrolled and your child has a favorite game or activity, we will make sure it is incorporated in the party!
The first 60-70 minutes of the party will include activities on the gym floor, then the guests will dance out to the lobby. The birthday kid will be celebrated with a special swing in our big blue circle while the guests sing Happy Birthday. The last 20-30 minutes are reserved for enjoying any food and treats either in the lobby or in the separate party room if you booked the Deluxe or Premier packages.
5 minutes before the end of your party, the party specialists will start to pack up all your items and any presents brought to make it easy and simple for you to enjoy those last few minutes of the party. When your guests have left, we will take final payment from you and help bring things to the car as needed.
How many children can I invite?
There are 3 different package options for you to choose from.
- The Grand package includes up 10 children
- Deluxe package includes up to 15
- Premier package includes up to 25
Our MAXIMUM number of children for the Grand package is 15. Deluxe & Premier parties may include up to 25 children. Sorry, we cannot accommodate more than 25 children.
What if I have more than the number of children allotted in each package?
Additional children up to each party max is absolutely allowed! There is an extra charge of $20 per additional child over the specified number included in your party package. The absolute maximum number of children allowed on the gym floor is 25. If you end up having more children attending than are included in your package, the extra child fee will apply. For example, you booked the Grand package, but 15 children attend, at the end of the party an extra $100 will be billed on your invoice.
This number includes any children who play on the gym floor regardless of age. Babies as young as 4 months are welcome to enjoy our equipment, and we can bring out baby specific items to keep them entertained while the big kids play.
Can My Gym provide favors/goodie bags or other add ons?
YES! We can provide My Gym branded party favor bags, a cupcake tower, balloon drop, highchair for a first birthday, and themed decorations! It is easy to add them on. We do keep favor bags in stock in the gym, so if you're in need of a last-minute option, just let us know. Our goal is to make things as easy for you as possible!
What time should I arrive at the party?
We ask that the host family arrives no more than 10 minutes prior to their scheduled party, as we will be cleaning & preparing the gym for the party - as well as allowing the party prior to yours to exit. Please plan to drop any décor, paper goods, etc. off a few days before the party for us to set up prior to your arrival.
*IMPORTANT NOTE: If you require more time for a "Pinterest-style" set up, please inquire about adding additional time to the party for set-up at an add-on cost. Please note, we cannot accommodate last minute requests for adding on time. We will need at least 3 weeks' notice to ensure this is possible. It's possible that extravagant setups will be pushed into guest arrival - chat with us to determine the best plan for your party.
Is there an additional charge for parents and/or caregivers?
No, there is no additional charge for parents or caregivers, and we do not have a limit on the number of adults who can attend. We've done LOTS of parties with more adults than kids :)
Is each child required to have a signed waiver?
For insurance purposes, ALL children are required to have a waiver completed and signed by a parent or guardian. Anyone without a signed waiver will be unable to play on the gym floor. My Gym provides a link to send out to guests with your initial party invitation. You will receive an email for each family that pre-signs the waiver. Day of, we also have a custom QR code for guests to use to complete the waiver when they arrive should they forget to do it ahead of time.
Do I need to stay at the party?
The party host parents are required to stay at the party. Parents of any children under age 4 years old are also required to accompany their children on the gym floor. Other adults are also welcome to stay and enjoy the fun on the gym floor or in the lobby!
Why are My Gym gripper socks required?
For safety and insurance purposes, we require children wear My Gym gripper socks and for parents to wear their own socks. Including this in the invitations helps everyone be prepared on party day. Children gripper socks are INCLUDED in your party package at no extra charge. Your My Gym party hosts will hand them out to children upon arrival once completion of their waiver is confirmed. Plain black adult socks are available for $3 per pair if grownups forget to bring their own socks. The host parent is also welcome to bring extra adult socks in for guests if you prefer not to pay for ours.
Can I use my own decorations and/or paper products in the gym?
You are welcome to use your own decorations or paper products. Please note we do not allow ceiling decorations, streamers, silly string, confetti (anything that would be a choke-hazard), or glitter of any kind. Keep in mind there is limited setup time between parties when planning decorations. Decorations we suggest include: a Happy Birthday wall sign, tabletop decorations, and some balloons. There are so many fun things to do in the gym we promise you do not need a fancy set up to make your party amazing! If you choose to bring your own paper products and decorations, we ask that you drop them off at the gym at least a few days prior to the day of the party. Please provide enough plates, napkins, and forks for all your party guests. There will be an additional fee if we provide paper goods over the included 20 plates, napkins, forks.
What about setup and clean-up?
We will do ALL the setup of the gym and clean-up afterward. You just need to arrive a few minutes before party start time with any food and drinks you want served. We also cut and serve your cake! Sit back and relax while we take care of all the details.
Are gratuities (tips) appropriate?
Gratuities for your party hosts are always welcome and appreciated for a job well done. We promise they will be working hard to make sure it’s an amazing time for your child and guests!
When will you contact me for details about my party?
We will email you a couple weeks prior to the party to go over details including music and game requests, as well as a few other questions. If you have any questions as your date gets closer feel free to email them to swportland@mygym.com at any time! We want everything to be ready to make it a stress-free experience for you!
What themes are available for party add-ons!
Our themed party add-on includes color coordinating tablecloths, themed plates, themed napkins, tabletop decorations and balloons, themed Happy Birthday banner, themed music, and themed games and activities. Themes are a $60 add on to the Grand and Deluxe packages, it is included with the Premier package. We do require 3 weeks' notice for all themes to ensure we can get the items we need.
Can I bring food to my party?
You may bring your own food. We've had families bring pizza, sandwiches, cake, cupcakes, cookies, prepackaged dry snacks (chips, pretzels or popcorn), etc. The last 20-30 minutes of the party will be for enjoying any food you bring. No food or juice is allowed on the gym floor at any time. For the consideration of those with food allergies we also ask that no peanut/nut products are brought onto the premises as we are a nut free facility.
Can I bring in my own drinks?
You are welcome to provide non-alcoholic drinks for your guests. You may also provide juice boxes/small waters for the children. Individually packaged beverages are required, no open cups please, and we highly recommend an ice chest or cooler if you want to serve cooled drinks. For your safety and enjoyment, food and beverages are not permitted on the gym floor. No alcoholic beverages of any kind are allowed.
Are there any additional items I need to bring to the party?
If you will be bringing a cake or cupcakes, please bring candles. For your convenience, we will provide the lighter and knife. We don't supply them, but you are welcome to bring in helium balloons as well.
What if I need to reschedule my party?
We require at least 2 weeks advance notice if you need to cancel your party. Remember that your deposit is time slot specific and non-refundable (sorry-no exceptions). We charge a rescheduling fee of $50 to move your party to another time slot.
